The People Plugin is proud to be partnering with Undeniable Mentoring, a high-performance business mentoring company, to recruit a talented Executive Assistant to the CEO.

Founded by Rhys Livingstone, Undeniable Mentoring works with ambitious business owners and operators, helping them build stronger businesses through clear strategy, commercial thinking, leadership discipline and practical execution. With strong growth underway and a significant year ahead, this is an exciting opportunity to join the business and work directly alongside the CEO.

About the Role

Reporting directly to the CEO, the Executive Assistant will play a critical role in protecting the CEO’s time, improving operational flow and ensuring the business continues to move with speed, clarity and precision.

This is not a traditional calendar management role. This is a high-trust, high-accountability position for someone who can anticipate needs, remove friction, manage competing priorities and create structure around a fast-moving founder.

You will support the CEO across diary and time management, meeting preparation, communication flow, workshop coordination, client network support, systems improvement and high-priority project execution.

A key part of the role will be supporting Undeniable Mentoring’s workshops and events. You will be involved in the preparation, coordination and on-the-ground delivery of workshops, ensuring materials, venues, communications, logistics and client experience are managed to a high standard.

This role will suit someone who is highly organised, people-focused, commercially aware and comfortable operating in a fast-paced environment where standards are high and expectations are clear.

Key Focus Areas

Executive Support & Time Protection

  • Protect and manage the CEO’s calendar, ensuring time is used intentionally and effectively.
  • Coordinate meetings, calls and priorities in a way that supports focus, decision-making and business momentum.
  • Prepare the CEO for meetings with the right context, information and next steps.
  • Filter incoming communication and ensure only relevant, actionable information reaches the CEO.

Operational Coordination & Systems

  • Create order, structure and repeatable systems across recurring administrative and operational tasks.
  • Identify friction points and proactively improve processes before they slow the business down.
  • Support internal systems, workflows and tools to ensure the CEO and broader business are operating efficiently.
  • Use AI tools, including platforms such as Claude, to improve workflow, communication, documentation and execution.

Workshop & Event Support

  • Coordinate the end-to-end logistics of workshops and live sessions, including venues, materials, preparation, stock, run sheets and attendee experience.
  • Act as a front-facing representative of the business during workshops and events.
  • Ensure all workshop details are handled before, during and after each session.
  • Support the delivery of a premium client experience across all in-person touchpoints.

Client & Stakeholder Communication

  • Support communication with clients across the Undeniable Mentoring network.
  • Ensure clients are kept updated with relevant information, schedule changes, event details and program communications.
  • Build strong relationships with clients, suppliers, venues and internal stakeholders.
  • Represent the CEO and business with professionalism, discretion and confidence.

Project Support & Execution

  • Take ownership of high-priority projects and tasks on behalf of the CEO.
  • Follow through on actions, deadlines and deliverables without needing constant direction.
  • Anticipate what needs to happen next and take initiative to keep things moving.
  • Support the CEO with ad hoc commercial, operational and administrative priorities as the business continues to scale.

About You

You are a highly capable Executive Assistant or senior support professional who understands that great executive support is about leverage, not just administration.

You are calm under pressure, highly organised, commercially aware and confident communicating with a wide range of people. You enjoy being close to the action and are comfortable supporting a founder who operates at pace.

You bring:

  • 3+ years’ experience supporting a CEO, founder, executive or senior leader in a fast-paced environment
  • Strong calendar, diary and time management capability
  • Excellent written and verbal communication skills
  • Strong emotional intelligence and the ability to read people, situations and priorities quickly
  • Experience coordinating events, workshops, client sessions or high-touch in-person experiences
  • A people-first approach, with confidence engaging with clients, suppliers and stakeholders
  • Strong systems thinking, with the ability to improve processes, create structure and reduce friction
  • Confidence using technology and AI tools to improve efficiency and quality of output
  • High levels of discretion, professionalism and reliability
  • A proactive mindset and the ability to work autonomously without needing handholding
  • Experience in events, workshops, professional services, education, coaching, mentoring, business programs or client-facing environments would be highly regarded, but is not essential.
